As a Medical Office Assistant in our TELUS Health Care Center located in Calgary, you'll be the first point of contact for clients seeking health and wellness support. Your professionalism, efficiency, warmth, and attention to detail directly shape their experience — and their willingness to engage in care.
You'll join our Calgary-based clinical team of multidisciplinary healthcare professionals who work collaboratively every day to ensure clients feel welcomed, supported, and guided through their health journey. You are the hub that keeps the team coordinated and clients informed.
As a mature, positive, and professional individual, you'll ensure every client interaction reflects TELUS Health's commitment to accessibility, respect, and compassionate care. You'll work in a fast-paced, collaborative shared team environment where your contribution directly improves client satisfaction and health outcomes.
You maintain a friendly, professional demeanor with clients, colleagues, and visitors at all times, while safeguarding client confidentiality with integrity and care.
What You'll Do
In a typical week, you'll balance multiple priorities across appointment management, client-facing support, and administrative operations:
Appointment Management & Coordination
- Schedule client appointments and arrange specialist consultations, ensuring optimal clinic flow
- Navigate incoming phone calls and manage appointment requests with accuracy and warmth
- Coordinate follow-up consultations and communicate appointment details clearly to clients
- Proactively contact clients to remind them of required tests, examinations, and follow-up care — this outreach significantly improves attendance rates and health outcomes
Reception & Client Support
- Greet clients warmly as they arrive; ensure the front desk is welcoming and professional
- Prepare clients for tests and examinations; answer questions and ease any concerns they may have
- Connect with clients in a genuine way, supporting continuity of care and their sense of being known
Medical Records & Administrative Operations
- Update and maintain medical records with accuracy and attention to detail
- Manage Electronic Medical Record (EMR) systems and ensure data integrity
- Provide general office administrative support — filing, document management, supply ordering
Qualifications
What You Bring
- Healthcare & Medical Knowledge
- High School Diploma or equivalent
- Minimum 2 years of healthcare experience (clinical, administrative, or direct patient care)
- Familiarity with medical terminology and healthcare protocols
- Proficiency with Electronic Medical Record (EMR) systems — ability to navigate platforms confidently, enter information accurately, and maintain data integrity

- Ability to manage multiple priorities simultaneously — You can answer phone lines, schedule appointments, and greet walk-in clients in the same hour without losing accuracy, patience, or warmth
- Excellent written and verbal communication skills — You explain appointment details, test preparation, and follow-up care clearly to diverse clients; you ask clarifying questions and listen actively
- Professional, calm demeanor under pressure — You remain patient, kind, and solution-focused during high-volume clinic periods; you don't take stress out on clients or colleagues
- Strict commitment to confidentiality — You understand and follow privacy regulations and treat client information with absolute integrity
- Exceptional organizational skills — You manage scheduling systems, follow-up tasks, and client communication without things falling through the cracks
Technical Skills
- Proficiency with Microsoft Word and email systems
- Comfort learning new software and systems quickly
- Reliable internet connectivity and technology access in your home office (if remote work options become available)
