Location: TELUS Sky - Level 3, 685 Centre St S, Calgary, AB, T2G 2C7
Hours of Operation: Monday to Friday 9am MST to 5pm MST
Status: Regular Full-Time, 40 hours per week

Our team and what we will accomplish together

 

As an Administrative Associate, you will work in a clinical setting as part of a multidisciplinary team to provide health and wellness solutions to our clients. You will liaise with other clinic staff, physicians and administrators to ensure effective and timely delivery of our services.

 

As a key part of the team, you will help ensure an amazing customer experience throughout the client’s service journey. This will involve overseeing the booking process, supporting the client and clinical team through the in-clinic assessment, and coordinating arrangements for ongoing support.

 

What you’ll do

 

  • Effectively managing all tasks related to inbound, outbound calls and email inquiries from clients/companies
  • Proofread and edit reports (and associated documentation) for spelling, grammar and formatting errors
  • Liaise with the clinical team members to ensure medical reporting is completed in a timely manner
  • Ensure appropriate communication in documents produced by physicians
  • Ensure satisfaction of all clients and healthcare professionals by taking their specific requirements and needs into consideration
  • Liaise with third parties and internal committees to resolve technical issues and improve services, as necessary
  • Perform third party service reconciliation 
  • Monitor and re-stock office & client supplies 
  • Cross training with other administrative roles to ensure clients receive smooth, end-to-end service during team vacations and absences
  • Other administrative support tasks (including special projects), as directed
  • Working collaboratively and effectively with all team members to provide a welcoming and client focused environment

 

Qualifications

 

What you bring

 

  • 2+ years of experience providing an exceptional level of service in a medical clinic or similar field desired 
  • Proficient with Microsoft Office applications (Word, Outlook, Excel and PowerPoint), Gsuite knowledge
  • Exposure to patient databases and/or appointment scheduling software would be ideal
  • Self-starter who takes initiative, and demonstrates a high level of accountability and sound judgment
  • Excellent communication skills, both verbal and written
  • Demonstrates flexibility and the ability to work effectively in a team environment
  • Ability to handle sensitive situations with tact while respecting confidentiality at all times
  • Ability to work well under pressure, prioritize, and demonstrate a sense of urgency in completing time sensitive tasks in an efficient manner
  • Ability to work effectively within a team environment, as well as independently with minimal supervision
  • Demonstrates effective organizational, multitasking and problem solving abilities
  • Clinical and/or sales experience is considered an asset
