Description

 

In your role as Executive Assistant, you will provide the VP with confidential administrative support including coordination of administrative procedures, public relations activities and organization of events, and act as liaison with department heads and company executives and with other businesses and associations on behalf of the SVP and VP while exercising good judgement in a fast-paced and rapidly changing environment. Since you will have an important part to play in  organizing company events, your role also requires you to be great at strategizing, coordinating, and implementing events to promote our brand, products, and services effectively. 

 

The EA role is a temporary position, serving as a maternity leave replacement for 12 months, with daily tasks focused on Vice -President executive assistance. Alongside these responsibilities, you will also take on a dual role as an event marketing manager and will have the opportunity to transition into this full-time position after the 12-month period. Mainly virtual, this role requires occasional on-site work, as needed by the vice-president.


Responsibilities:

 

  • Manage and follow up diligently on emails
  • Manage and coordinate schedules in Google Workspace
  • Plan and book business travel or corporate events
  • Preparation and logistics for internal or external meetings, e.g. reserving conference rooms, ordering meals, printing documents, preparing participant lists, obtaining biographies, preparing the room, etc.
  • Prepare documents and presentations
  • Complete specific projects and independently take care of any necessary research, prioritization and follow-up
  • Prepare budget reports and follow up on them every month
  • Prepare purchase orders and track payment of invoices for materials and/or services
  • Initiative, autonomy and ability to quickly adapt to a constantly changing environment
  • Coordinate and manage events with a marketing twist, including planning, logistics, and execution.
  • Collaborate with marketing teams to incorporate branding and promotional elements into event materials and activities.
  • Oversee event communications, including pre-event promotions, invitations, on-site signage, and post-event follow-ups.

Qualifications

 

Requirements:

 

  • 3-5 years’ experience in an Executive assistant role 
  • Excellent organizational and project management skills
  • Ability to juggle different tasks and responsibilities at the same time and to work effectively in a fast-paced environment.
  • Outstanding verbal and written skills in both French and English
  • Interpersonal effectiveness
  • Creative thinking and problem-solving abilities.
  • Perfectly bilingual in French and English

 

Education:
Bachelor's degree in marketing, communications, project management or related field is not required but preferred.

Salary Range:  $70,000-$104,000
Performance Bonus or Sales Incentive Plan:  10%
