Location: 600 Boulevard de Maisonneuve West, Montreal H3A 3J2 (100% in-clinic role)
Status: Permanent, full-time (37.5 hours/week)
Schedule: Must be available between 7:30 AM and 5:00 PM according to operational needs (schedule to be confirmed)

The administrative associate will need to be able to perform various administrative tasks, ensure outstanding customer service to important executive patients, and work as a team to accomplish the service objectives.

 

Here's how

 

  • Welcome clients in a professional and pleasant manner
  • Answer internal calls
  • Bill clients
  • Balance and close the cash register at the end of the day
  • Confirm, modify, or cancel appointments
  • Work closely with the coordinator to ensure smooth operations
  • Answer client questions and ensure minimal waiting time between appointments
  • Responsible for opening and/or closing the clinic reception
  • Respond to incoming patient emails
  • Help with month-end reconciliation
  • Contribute to maintaining the aesthetics, supply, and cleanliness of the patient buffet by helping as needed
  • Replace different administrative positions as needed
  • Any other related tasks

 

 

Qualifications

  • Completed high school diploma
  • Minimum of one year of customer service experience required
  • Bilingualism (spoken and written) is essential
  • Basic knowledge of MS Office (Outlook, Excel, Word)
  • Attention to detail and thoroughness
  • Knowledge of medical terminology (an asset)
  • Politeness and courtesy
  • Quick execution and discretion
  • Respect for confidentiality
  • Diligence and punctuality
  • Good stress and priority management
  • Ability to handle multiple tasks simultaneously
  • Neat and professional presentation

 

Intermediate knowledge of English is required, because you will, , interact in English with external parties (clients, suppliers, candidates, external partners...), interact in English with internal parties (colleagues, internal partners, stakeholders...), as part of this position's main responsibilities, given its  scope.

 

 

Salary Range:  $18-$28
Performance Bonus or Sales Incentive Plan:  0%
