Schedule: Monday to Friday between 7:00 AM and 5:00 PM – Depending on operational needs

Our preventive medical clinic is looking for an administrative associate who will be a good fit for our dynamic and professional team. The reception desk represents the clinic’s image, and reflects the customer experience that our visitors can expect. We want to offer a pleasant customer experience and ensure that our patients are seen as promptly as possible.

As an administrative associate, your core mission is to provide impeccable customer service. We count on our front desk team to welcome our patients enthusiastically, help them to navigate the various aspects of their visit, and provide a friendly conclusion as they leave. Our administrative associate must have an outgoing personality, be able to perform multiple tasks simultaneously, and work with a variety of software systems and tools.
Here’s how
- Greet patients in a pleasant and professional manner at the reception
- Respond to calls from inside the clinic
- Provide candidates with various forms to fill out before meeting with healthcare professionals, and ensure that everything is properly filled out before allowing them to leave
- Accept payment from patients, close and balance the cash drawer at the end of the day
- Work in close collaboration with the coordinator to ensure that operations run smoothly and to keep appointments on schedule
- Take the necessary steps with your supervisor to try to respond to all types of patient requests
- Stand in for the coordinator as needed
- Responsible for opening and/or closing the reception area for the occupational clinic
Qualifications
You’re the missing piece of the puzzle
- Minimum of 2 years as an administrative associate or in customer service
- Computer knowledge (Windows)
- Bilingualism is essential
- Strict observance of the confidential nature of patient information
- Strong sense of organization and professionalism
- Able to manage stress and show initiative; cheerful, diligent and punctual
- Professional presentation and interpersonal skills are essential
Advanced knowledge of English is required because you will on a regular basis interact in English with external parties (clients, suppliers, candidates, external partners, etc.); interact in English with internal parties (colleagues, internal partners, stakeholders, etc.); and work with IT tools whose interface is only accessible in English as part of this position's main responsibilities given its provincial scope.
