Location: 600 Maisonneuve Boulevard West, Montreal
Status: Permanent, 37.5 hours per week
Schedule: Monday to Friday (7 a.m. to 5 p.m., depending on operational needs)

The Operations Coordinator plays a key role as a resource person, providing support and facilitating communication between the various departments committed to delivering excellent service to our patients. This role ensures the smooth day-to-day operations of the clinic and works in close collaboration with senior management.
Responsibilities include:
- Meeting with patients in occupational health, travel medicine, immigration services, as well as for U.S. consultations and testing, according to established protocols
- Reviewing files related to occupational health, travel medicine, immigration services, U.S. consultations, and testing based on protocols
- Scheduling the medical team according to physicians’ availability, activity volume, and ongoing projects
- Planning daily operations, including managing unforeseen events (e.g., vacation replacements, leave days, staff sick absences)
- Acting as a key communicator during the implementation of process and technology changes
- Participating in weekly planning of required resources based on operational needs
- Replacing the Clinical Administrative Coordinator when necessary
- Managing medical supply orders
- Fostering respectful and professional relationships with both administrative and medical staff to maintain a healthy, productive, and efficient work environment
- Ensuring performance and quality objectives are met and quality control standards are followed
- Participating in the initial phases of projects to provide an overview of clinical operations
- Handling administrative complaints from in-clinic clients
- Contributing to the company’s growth and acting as a change agent
- Collaborating with senior management to optimize operations
- Performing any other related duties as required
Qualifications
- College diploma (a combination of relevant experience and education may be considered)
- Minimum of two (2) years of work experience in a medical setting (an asset)
- Fluency in both English and French, spoken and written (required)
- Good knowledge of MS Office Suite (Word, Excel, Outlook)
- Knowledge of medical terminology (an asset)

Basic knowledge of English is required because you will on a regular basis as part of this position's main responsibilities given its provincial scope.
