As an administrative assistant, you are the right arm of your director of operations and other senior management across Canada. You are a trusted partner who ensures that he has the necessary information and resources, in the right place and at the right time, in addition to supporting him in confidential files. Responsibilities

 

As an Administrative assistant, you are multi-talented and take on different responsibilities with pride:

  • Virtuoso of administrative and operational tasks
  • You proactively manage the schedule of the Director of Operations and other members of management, including travel arrangements, without forgetting any detail
  • You gather, coordinate or prepare the necessary information, documentation and resources (presentations, reports, etc.) for meetings and events
  • You review, solicit, summarize and transmit the information sent to him
  • You identify priorities and modify them as needed effectively, in a constantly changing environment, in order to meet deadlines
  • You manage and approve individual and corporate expenses, and create budget reports as needed
  • Inspiring collaboration partner
  • You anticipate needs and find solutions to facilitate tasks
  • You consolidate the culture of the team by organizing engagement activities, as well as through your friendliness and your positivism
  • You respond clearly, simply and effectively to internal and external stakeholders using the appropriate means of communication (in person, telephone, email, text message, or any other means available)

  • You demonstrate good judgment, discretion and diplomacy in your discussions, especially when it comes to sensitive or confidential information
  • Events and Projects Coordinator
  • You participate in various projects, whether small and simple or large and complex
  • You organize forums, conferences and other activities of the business unit (logistics, site management and catering)

  • You are eager to learn new things: processes, systems, concepts, ideas, subjects, etc.

Qualifications


Skills, Abilities and Experience Required:

 

  • Mastery of the complete Google suite as well as Word, Excel and PowerPoint software
  • Fluency in French and English, both oral and written
  • Exceptional organizational and communication skills
  • Proven ability to adapt and work effectively when situations are ambiguous and the scale of change is significant
  • Knowledge of SAP and ability to synthesize budget revisions, assets
  • At least five years of experience in an executive assistant position reporting to senior executives in a large company
  • University degree: Bachelor's degree in business administration or in arts with a concentration in communications
