Job Description
The position of medical office administrative assistant is part of the medical office and administrative team. The selected candidate will be responsible for coordinating and completing administrative duties for the medical office team by facilitating high quality standards for the medical office services to support high levels of client care both in the clinic and for any subsequent communication.
Roles and Responsibilities
- Provide daily administrative support to the medical office and clinical team (physicians, nursing, chart prep, CSRs, transcription) to ensure efficient operation and flow of work
- Utilizes knowledge of medical terminology to exercise sound judgment or decision-making to provide secretarial and clerical services in support of professional/medical personnel
- Work in collaboration with medical office team to ensure proper process and procedures are in place to manage administrative aspects of special client accounts
- Maintain a high level of current product and service knowledge
- Maintain and modify confidential medical electronic/paper filing/retrieval and transfer methods, systems, formats and information
- Provide medical records, invoices and other information requested by referred specialists, clients, insurance etc.
- Responds promptly to questions and concerns from clients, employees and Physicians; liaises with Specialists
- Maintains confidentiality and follows departmental guidelines
- Able to identify and document process shortfalls that present themselves and communicate issues to management
- Recommend possible solutions to minimize and remove barriers to the administrative workflow and office processes for review, approval and further direction
- Manage monthly inventory, supply check of office supplies and maintain office supply room
- Responsible for maintaining file room including splitting and archiving charts
- Participate in special projects and quality assurance initiatives
- Performing other related clerical activities and cross-functional responsibilities as assigned
Qualifications
Education:
- Completion of recognized medical office administration program at the diploma level, or equivalent work/education experience preferred
Experience:
- Minimum 1 year of relevant professional experience working in a fast paced medical environment, with demonstrated high degree of efficiency and effectiveness
- Experience with medical transcription (required)
