Here’s the impact you’ll make and what we’ll accomplish together
As the Executive Assistant, you will report into the Vice President, Implementation & Operations within the Payor & Provider Solutions team. You will support two (2) Senior Leaders across the organization, and your mandate will involve thoughtfully managing numerous activities with a high level of professionalism, collaboration and confidentiality.
Your responsibilities will include (but not be limited to):
- Act as a liaison with internal and external customers, vendors and team members, managing and prioritizing business meetings, activities and requirements. Ensuring a clear agenda for all meetings including the intent and content to be delivered proactively
- Proactively anticipating the needs of the executive leaders you support and demonstrate efficiency to ensure they are prioritizing meetings and commitments and adjusting accordingly in a fast-paced, changing environment
- Support by monitoring follow-up activities with internal and external stakeholders including action items
- Proactively manage and coordinate senior leader calendars, ensuring efficient time management, booking travel arrangements, etc
- Proactively gather, coordinate and/or prepare the necessary information, materials, presentations, reports for internal meetings and align resources for client meetings and events
- Ensure the proper management and approval of individual and corporate expenses
- Prioritize and adjust priorities in a fast paced, changing environment with agile efficiency
- Provide a best-in-class experience for internal and external stakeholders
- Partner heavily with the other Executive Assistants within the Payor & Provider team to manage activities across the Business Unit
- Enhance a strong team culture with your positive attitude and natural tendency to help others achieve success in their endeavors
Qualifications
You’re the missing piece of the puzzle
- Bilingual in English and French
- Minimum of 5 years of experience supporting senior executives
- Known to have exceptional organizational skills and unparalleled attention to detail
- Respected for your strong judgment skills and unwavering commitment to maintaining confidentiality
- Recognized as an exceptional communicator who is collaborative and always displays professionalism
- Noted for your uncanny ability to anticipate needs or issues, and create solutions to address them
- Regarded as highly adaptable, agile and poised when faced with change, ambiguity, and competing priorities
- Acknowledged to have a continuous learning and process improvement mindset
- Depended upon for your advanced capabilities with Microsoft Outlook, Excel, Word, PowerPoint and Google suite of tools
- Strong ability to assess needs of the executive leaders you support, and provide feedback on information required to others
- Willingness to work in a role that requires a high degree of flexibility and adaptation in terms of rapidly changing priorities
Great-to-haves
- Bachelor degree in Business Administration or Arts, focus on Communications and/or Marketing
- Healthcare Industry background or experience an asset
- Familiarity with SAP or other people management software solutions
Advanced knowledge of English is required because you will most of the time interact in English with external parties (clients, suppliers, candidates, external partners, etc.); interact in English with internal parties (colleagues, internal partners, stakeholders, etc.); and work with IT tools whose interface is only accessible in English as part of this position's main responsibilities given its national scope.
