We are looking for a strong, driven Executive Assistant with a broad track record for partnering with all levels of the organization to help senior leaders drive transformational change, develop highly talented and engaged teams, and collaborate effectively. You will be the eyes and ears of the Finance Business Partners team, and a key contributor to our team culture. As a proven achiever and polished professional, you will provide confidential support to financial executives and liaise with other Executive Assistants inside and outside Finance on their behalf.


What you’ll do


As an Executive Assistant to two finance VPs, you will take on many exciting roles each day:


  • Collaborative Communicator: convey professionalism with all levels of management, senior executive management, internal and external stakeholders (orally, written and presentations)
  • Strong Organizer: manage and prioritize calendar scheduling, including travel requirements, to ensure the executives time is focused where it will have the most impact
  • Proactive Self-starter: carry out projects and independently research, prioritize and follow up on status
  • Meeting & Event Organizer: coordinate and conduct departmental meetings or team events, including for the broader Vancouver Finance team, and where required prepare agendas, keep accurate minutes and follow-up to ensure completion of action items
  • Program Leadership: collaborate with the leadership team and Sr Strategy Manager to develop and execute on programs underpinning our key culture pillars, such as leadership off-site, communications activities, recruitment efforts, and other programs to progress our culture goals
  • Administrative Whiz:
    • Screen and address incoming correspondence, inquiries and phone calls
    • Act as a delegate for submission and approvals on multiple TELUS platforms as required
    • Prepare expense reports, monthly budget report, invoice processing and purchase requisitions, survey creations and reports
    • Assist in quarterly financial activities on behalf of the executives and their teams (SOX Checklists/sign-offs, Risk assessment, Audit Committee & Board materials, etc.)
    • Manage ad hoc requests as required
  • Client Experience Advocate: handle team member & customer requests and concerns with tact and diplomacy





What you bring


  • Strong initiative, positive attitude, ability to use discretion and to work well with others
  • Ability to anticipate needs, work independently, and be decisive when necessary with minimal supervision
  • Willingness to work in a role that requires high degree of flexibility in terms of rapidly changing priorities and reasonably broad scope of deliverables (i.e. pure administration to project management-type work)
  • Excellent planning/organizing, business writing and presentation skills
  • Advanced knowledge of Google Suite collaboration tools (Mail, Calendar, Meet, Chat, etc.) - Multiple calendar management, comfortable dealing with multiple time zones, highly organized
  • Strong knowledge of Google Docs and MS Word - Ability to edit reports according to branding and template standards
  • Strong knowledge of Google Sheets and MS Excel - Ability to work within large and complex spreadsheets
  • Strong knowledge of Google Slide and MS Powerpoint - Ability to edit and prepare presentations to convey key messages
  • Knowledge of Adobe PDF, SAP, Concur, teamHub / SuccessFactors


Great to haves


  • Post-secondary diploma/certification/degree in a Business/Administrative or related field
  • 3-5 years of equivalent experience partnering with senior-level executives
