Reporting to the Director, Real Estate Development, the Real Estate Development Coordinator will gain broad exposure to the development lifecycle by actively contributing to all aspects of the estate development process from initiation to closeout, including rezoning, acquisitions, development applications, site assessments, development feasibility, conceptual site planning, municipal permitting and approvals, project design and project delivery, including construction. leasing and asset management. This role will also provide portfolio level administrative support to the Real Estate Development team, including coordinating, managing communication and maintaining records for key processes and deliverables and will collaborate with various internal and external stakeholders to advance the development projects forward.

ABOUT

 

As the Real Estate Development Coordinator, your primary responsibilities will be:

 

  • Support the Real Estate Development team in the coordination and communication with key vendor partners, consultants, contractors, municipal entities as well internal stakeholder communication to advance the projects forward
  • Maintain and organize appropriate documentation and records for each development project within the portfolio, including drawings, development applications, correspondence, proformas, technical reports and other documents as required, in a central data repository
  • Record and circulate reports, meeting minutes and help update and manage designated project communication tools
  • Work with the development managers to help manage development specific procurement processes including proposal requests, information requests, expression of interest, contracts, purchase and service orders as well as vendor setups
  • Work with the development managers to help manage development specific finance processes including cost allocations, purchase order requests, budget updates, monthly invoicing and coding, closeouts, cost reconciliations, cheque and letters of credit for municipal and servicing applications along with project cost reports
  • Assist with the preparation and submission of various development and municipal permit applications, while working with the project teams, including rezoning, subdivision, development and building permit applications as applicable for each project
  • Assist with the preparation, compilation and execution of project related procurement, financial and legal documentation
  • Support the development team in the coordination and ongoing communication with consultants, marketing partners, trades and construction teams
  • Set up working sessions with key project entities to advance development applications, design, value engineering and any support necessary during project delivery to execute the projects on budget and schedule
  • Work in step with the development manager and the leasing, design, construction and marketing teams on a tailored development strategy for managing municipal entitlements, design, construction, leasing and property management
  • Coordinate the efforts of graphic design specialists, including engaging consultants to create packages for various uses on each project, including streamlining information pertinent for municipal applications, community engagement, stakeholder consultation, investment partners, marketing efforts and occupancy activities
  • Review, inspect, provide input on drawings, specifications, material and colour selection, visual mock-ups, renderings, and plans
  • Assist with tasks for the asset/ property management phase, via an external property management partner, including set up of required agreements, managing and maintaining required documentation, standards, tenant requirements, work permits etc
  • Building, monitoring, and adjusting deliverable and work schedules according to project performance and objectives
  • Other related or ad hoc tasks as necessary 

 

What we’re looking for: 

 

As the Real Estate Development Coordinator, we are looking for an enthusiastic individual with the followings key skills, competencies and attributes.

 

Skills and Key Competencies

 

  • 1-3 years of relevant development coordination experience and an understanding of the municipal approval process and project management
  • University-level education (or equivalent), with a specialization in project management, real estate, urban land economics, architecture or urban planning
  • Overall familiarity and working experience with all phases of the real estate development process, including rezoning, site acquisitions, development due diligence, design development, leasing/sales, construction, and property/asset management
  • Prior working experience in multiple development sectors, including commercial, residential, retail, mixed use and industrial development preferred
  • General knowledge of the construction process from tender through to contract administration and commissioning preferred
  • Ability to work with and comprehend construction documents such as drawings, specifications, procurement proposals, permit documentation, schedules and budgets
  • Strong project management experience and skillset to take these complex initiatives from initiation to completion, while balancing competing constraints and high client expectations around aesthetics, development objectives, quality, schedule and budget
  • Strong interpersonal, analytical, communication and organizational skills, along with a high level of computer proficiency in Microsoft Office, Adobe required. Working knowledge of Sketch Up, CAD/ Revit or similar software considered an asset
  • Must possess a valid driver’s license and flexibility to travel to support projects when required
